AI Weekly Status Template: How to Communicate AI Product Progress to Stakeholders
TL;DR
AI product status updates are harder to write than traditional product updates because the most important measures of progress — model quality, evaluation scores, safety metrics — don't translate intuitively to business stakeholders. A weekly status that only reports 'we shipped X feature' misses the story of whether your AI is actually improving. This template covers the full weekly status structure for AI products, with the AI-specific sections that make the update genuinely useful to leadership.
The AI Weekly Status Template
This template is designed for a weekly status update to product, engineering, and business leadership. It should be completable in 30–45 minutes and readable in 5 minutes. The goal: give leadership enough information to understand AI product health without requiring them to interpret raw metrics.
Section 1: Quality health (3–5 bullets)
Overall quality score this week vs. last week vs. target. [▲/▼/→] Top quality improvement this week (specific, with metric). Top quality concern this week (specific, with what's being done). Safety status: any incidents or near-misses this week. User satisfaction signal: thumbs-up rate, NPS movement, support ticket trend.
Section 2: Shipped and deployed (2–4 bullets)
What shipped to production this week (AI-specific changes: model updates, prompt changes, evaluation updates, feature launches). Any infrastructure or cost changes. What rolled back and why (no shame — rollbacks are healthy). What is in staged rollout with current status.
Section 3: This week's focus
The 1–2 highest-priority things the team is working on this week. Not a task list — the strategic items that matter most to AI quality or capability. Each item: what we're doing, why it matters, and what we expect to learn or deliver.
Section 4: Blockers and decisions needed (0–3 items)
Anything that requires stakeholder input, resource decisions, or strategic alignment. Be specific: 'We need a decision on [X] by [date] to avoid delaying [Y].' Don't include blocked tasks that the team can resolve internally — only escalations that genuinely require stakeholder involvement.
Section 5: Metrics dashboard link
Link to live metrics dashboard. Highlight any metric that moved significantly this week with a 1-line explanation. The goal: busy stakeholders can skim the status and click through to the dashboard if they want depth.
The AI Metrics Every Weekly Status Should Include
Quality score (automated)
Your domain-specific automated quality evaluation score, trended week-over-week. This is your primary measure of whether the AI is getting better or worse. Report as: current score / last week / target. Include which use cases drove any significant change.
User feedback rate (positive/negative)
Thumbs-up and thumbs-down rates (or equivalent), week-over-week trend. Negative feedback rate is your primary real-time signal of user-perceived quality. Any spike above 15% should trigger investigation. Report as a percentage, not absolute count.
Latency P50 and P95
Median and 95th percentile response latency. Users experience the tail latency more than the median — a P95 that is 3x the P50 means 5% of users are waiting 3x as long. Track both and alert if P95 exceeds your SLA threshold.
AI feature adoption and engagement
Weekly active users of AI features vs. total eligible users. AI interaction count per user per week. New users who activated AI features this week. These tell you whether the AI is actually being used, not just available.
Framing AI Progress for Non-Technical Stakeholders
Translate quality scores into business outcomes
'Our quality score improved from 3.6 to 3.8' is meaningless to a business stakeholder. 'Our accuracy on contract clause identification improved 5%, which means we're catching 2 more issues per 10 contracts on average' is meaningful. Always link quality metric changes to business outcome language.
Own the narrative on AI failures
If there was a quality incident this week, report it in the status before anyone hears about it through other channels. 'We had a quality regression on Tuesday that affected X% of legal document queries for 3 hours — here's what happened and what we did' demonstrates control. Being surprised in a meeting about an incident you didn't mention in the status damages credibility.
Use consistent baselines and targets
Every metric in the status should have a baseline (what it was last week / last month) and a target (what we're aiming for). Without baselines and targets, stakeholders can't tell whether 3.8 quality score is good or bad. Set the reference frame, don't leave stakeholders to guess it.
Flag when AI progress is non-linear
AI improvement doesn't follow a straight line. A week of quality decline is often followed by a larger improvement. When metrics dip, explain why before stakeholders ask — 'we're running a controlled experiment with a lower-quality variant that's teaching us X' prevents alarm from a number that looks bad in isolation.

Weekly Status Mistakes for AI Products
All features, no quality
Status updates that list shipped features but include no quality or safety metrics give leadership a false picture of AI health. Shipping features when quality is declining is negative progress, not positive progress. Quality metrics belong in every AI product status update.
Metrics without context
A table of numbers without trend context or target comparison is noise. Every metric needs: current value, change from last week, target, and a 1-line interpretation. If you can't write a 1-line interpretation, you don't understand the metric well enough to report it.
Hiding bad news until it becomes a crisis
Quality regressions, safety incidents, and adoption declines that aren't reported in the weekly status until they become crises generate far more stakeholder alarm than proactive reporting of the same facts. Build a culture of early disclosure — stakeholders who learn about problems from your status trust you; stakeholders who learn about them from customer complaints don't.
Making the update too long to read
A 10-page weekly status is not read. A 1-page status that links to detailed appendices is read. Time is the most scarce resource for stakeholders. If your status takes more than 5 minutes to read, it won't be read. Ruthlessly cut anything that doesn't answer: what is the AI health, what changed, what's next, what do you need from me?

Content completeness
Quality score with week-over-week trend included. User feedback rate included. Any incidents or safety issues disclosed. Shipped items listed. This week's focus explained. Blockers and decisions needed identified.
Communication quality
Readable in 5 minutes or less. All metrics have baselines and targets. Quality changes translated into business outcome language. No metric reported without a 1-line interpretation. Bad news disclosed proactively.
Stakeholder readiness
Sent before the stakeholder meeting, not during. Decisions needed are flagged early enough to be actionable. Links to relevant dashboards and supporting detail included. Follow-up items from last week's blockers addressed.
