Fields the Tracker Must Have

A great tracker captures both what you did and what you learned. Notion, Airtable, or a spreadsheet all work; the tool matters less than the discipline of filling it in.

Company + role basics

Company, role title, comp range, location, application source. Filterable, sortable foundation.

AI-specific signal

Stage of AI maturity (rumor / shipping / mature). Vertical or horizontal. Funded vs. profitable. Frames how aggressive to be.

Application metadata

Application date, resume version, customization level, referral source. Required to attribute conversion.

Pipeline stage

Applied → Phone screen → Hiring manager → Take-home → On-site → Offer. Standard funnel labels for analytics.

Outcome and reason

Even when you lose, capture why. The ones that hurt to write are the ones that compound.

Conversion Analysis — Where Most Searches Stall

Your tracker is only useful if you analyze it weekly. The conversion analysis tells you which stage of your funnel is broken — and broken stages have specific fixes.

Application → Phone screen

Target conversion: 15-25%. Below: resume/positioning issue. Above: under-targeting (applying to roles you're overqualified for).

Phone screen → Hiring manager

Target: 50%+. Below: phone screen narrative needs work — usually the 'why this role' story is weak.

Hiring manager → Take-home/on-site

Target: 50%+. Below: communication style or product sense gaps surfacing in 1:1.

On-site → Offer

Target: 25-40%. Below: technical depth, leadership stories, or compensation negotiation prep needs work.
